How it works
The formula is deliberately simple and transparent:
monthly cost = per-seat price (annual or monthly) × number of seats
Per-seat prices are a dated snapshot from each vendor's published pricing page. Annual billing usually costs 10-40% less per seat than monthly. See the methodology for the snapshot date, assumptions and exclusions, and each CRM page for the underlying figures and minimum-seat rules (which can change the real total — e.g. monday bills in steps of 5 and SugarCRM requires 15 seats).

How does the CRM cost calculator work?

Add up to three CRMs to compare them side by side. It runs entirely in your browser - nothing is stored. Tiers that are custom/contact-sales show a quote message instead of a total.
What does the calculator NOT include?
It estimates seat (licence) cost only. It excludes one-time onboarding/implementation fees (e.g. HubSpot's $1,500-$3,500), add-on modules (marketing hubs, dialers, AI credits), call/SMS usage, extra storage, contact-tier overages and taxes. Some vendors (Keap, Bitrix24) price per organization rather than per seat - read their vendor page. Treat the result as a starting estimate, not a quote.
Is annual or monthly billing cheaper for a CRM?
Annual billing is almost always cheaper - typically 10-40% less per seat than month-to-month - but it locks you into a year. Switch the calculator's billing toggle to see the difference for your chosen tier and seat count.
