The five-step method

  1. Count seats — everyone who'll log in, at your projected (not current) headcount.
  2. Pick the tier — the lowest tier that includes the features you actually need.
  3. Check the seat minimum — monday bills in 5s; SugarCRM needs 15; this can raise the floor.
  4. Add the extras — add-on modules, calls/SMS, AI credits, and one-time onboarding.
  5. Annualize and compare — multiply by 12, use annual per-seat rates, and benchmark 2-3 vendors.
